We will be rolling out the following changes over the next week. If you don’t see them right away, you will soon.

Upcoming browser changes
If you are using Internet Explorer 7 or Firefox 3.x, you would want to read this post.

Upcoming feature improvements

Invoice list improvements
You will now be able to print the invoice list. You will also notice a running total for the amount and open balance columns at the bottom of the list and be able to see the sub-customer of the parent-customer in the name column. We’ve also provided easier access to the invoice list by adding both a new menu item in our main navigation and a shortcut on the home page Quick Links portlet.

Tip: The columns on the invoice list are resizable. Once you resize them to your satisfaction, the layout should be remembered whenever you come to the invoice list next time.

Customer Center improvements
A search on a customer will now show both the customer and all its sub-customers, if any.
A new filter has been added for showing deleted customers.
The un-delete workflow has been improved by allowing the restore to happen directly from the customer center instead of the customer edit dialog.

Receive payments workflow
From any Receive Payments link (like those displayed in the tooltip bubble on the invoice list, customer center, or homepage), the corresponding invoice will be automatically pre-selected on the Receive Payments screen. This should hopefully save some time and energy in trying to figure out the invoice you are receiving payments against.

Pre-fill customer information
When creating sub-customers, all information will automatically pre-fill when you select it’s parent-customer. (information you have already put in manually will remain unchanged)

Overwrite an existing memorized report
Prior to this, if you needed to overwrite a memorized report, you had to 1st go and delete the old one. Now you can overwrite a report with the same name; simply click memorize and enter the report name you would like to use. If the name is already in use you will be prompted with the option to replace the old report with the new report. You will also notice that this dialog is no longer a window-based popup. So there goes another window pop-up in the system. Please look at the bottom section of this post about some additional changes that you will see on this dialog.

Get weekly push alerts about your business
Now you can subscribe to receive push alerts on your mobile device and keep updated on your upcoming invoices and bills. Set it up in the Text Messaging Setup page under the Company tab. This is a beta feature and may not be available to all.

On the old Customer List page, where did the Summary button go?
If you haven’t already done so, check out the Customer Center for a better way of viewing transactions, creating statements, running quick reports, and more!
The links below may help you in tasks that you may have been using the Summary button for in the past.

Introducing a new interaction change

DISCLAIMER / README 1st
This is a work in progress; what you see in product right now may NOT be what you will eventually see in the final version (visually or interactively). This depends on user feedback too. We are introducing this change only in 1 place at the moment which is the memorize report dialog that you see in the images above and below. However this is an important control that is used throughout QBO (for selecting customers, vendors, items, accounts, terms, classes, location etc) and we will eventually start using it in more places. But for now its limited to the memorized report group drop down.

Summary

We are trying to get rid of certain popups. We are also trying to combine the features that our current drop downs have when the “Quickfill Autosuggest” preference is turned off and on. And at the same time making the drop downs a bit more performant for large lists. Read below for more details.

Lets start with what you see in QBO today:

When you are trying to add a new entry, you typically do one of the following:

Click the drop down > Click the Add New > Wait for the add popup to open > Type in a name > Click OK

Type in a name > Tab / click out > Wait for the add popup to open > Click OK

When you are trying to use an existing entry, you typically do one of the following:

If you have the ”Quickfill Autosuggest” preference disabled in the Company > Preferences

Start typing in, and then choose what gets auto-completed. You don’t see the drop down list in this case.

Just click the drop down arrow, and choose an entry. In this case you don’t type in anything.

If you have the ”Quickfill Autosuggest” preference enabled in the Company > Preferences

You see a filtered list when you start typing, based on what you type.

However when you click the drop down arrow, you see an empty list. The list only shows when you type in at least 1 character.

Issues with the current drop downs

When trying to use an existing entry, as you notice that both approaches above have their set of issues.

Users ideally want the drop down button to work as intended – to show the drop down list whenever clicked.

As well as typing in should show the filtered list of entries based on what you type.

Right now we seem to have an either this OR that approach and you can’t get both.

In both the add cases you have deal with a window based popup.

As you know that we are trying to get rid of window-based popups to make the user experience better – most people hate popups and browsers love blocking them.

Throwing of popups is also generally considered laggy.

The window-based popup may get minimized / hidden accidentally which may confuse the user as to why there screen is frozen.

Another drawback of the current drop down quickfills is that they hinder some UI performance.

While this may not apply to the memorize report group drop down, we have noticed page load times being slower on pages where such drop downs have a lot of entries, eg: having 1000 customer names in a drop down or 1000 items / services in a drop down.

While this doesn’t affect the majority of our users, there are some with enormous amount of entries for those drop downs.

Besides the above drawbacks, such old drop downs are one of the major reasons that prevent us from allowing the full QBO website on a touch based tablet device like the iPad.

Now lets see what we are moving towards (again this is a work in progress and at the moment only applies to the memorize report group drop down)

Things to note that you will see in this new styled drop down

Quickfill Autosuggest preference is dead to this new styled drop down and doesn’t effect it in any way. Whether its enabled or disabled, doesn’t matter.

Clicking the drop down arrow shows you the drop down list (however we encourage users to type in unless their list is small).

We may try to limit the entries shown in a drop down for performance reasons, but this is still up for discussion.

We don’t really want to be showing 10000 entries in there (yeah some folks do have that many customers or items in their lists!) as that may cause the page to be a bit laggy. So maybe the entries might be paginated and shown X number at a time.

If you type something in the drop down text box, it will filter the list based on what you type. See the image above where I type in “gg” and it only shows me entries starting with “gg”

The filtered list highlights what you type in. So “gg” is highlighted in the drop down list.

Instead of just matching the beginning of an entry, we can also do a full sub-string match. So not only will it show entries starting with “gg” but also those entries that contain “gg” somewhere in between. Whether to do this or not, is still up for discussion. User feedback will help here. For now you will only see the list showing entries starting with what you typed in.

The text that you type, gets auto-completed to the 1st entry in the list.

We may disable this auto-completion as many other web-apps are following the approach of filtering down the list, however not auto-completing.

If we decide to do a full sub-string search as mentioned in the prior bullet point, then the auto-complete needs to be turned off otherwise it results in a highly awkward user interaction that most people will find annoying.

To add a new entry, just type in the text in the drop down text box as you would normally do.

Once the drop down detects that you are entering something that doesn’t exist yet, it’s border will turn green and a (+) sign will appear telling the user that this is a new entry.

The border color and (+) sign showing is still up for discussion. Very likely we may just get rid of the (+) sign.

If you tab / click out now (or click the +), you will see a small overlay come up asking if you want to save this new entry. See the above image on the right of what it looks like at the moment.

This overlay basically replaces the window-based popup that you generally see for adding new entries. So no more of the annoying popup.

The visual look and feel of this overlay box is subject to change.

There is no <<Add New>> entry in the drop down list anymore. You add by simply typing in as mentioned above.

One has to type in a name for the new entry anyways, so we thought doing it before or after the overlay appears doesn’t make much of a difference.

We’ve got some great new things in our latest release.

Learn more about Intuit PaymentNetwork which allows you to accept secure online payments (via bank transfer) from your customers.

Also we received lots of feedback on the Invoice List (thanks very much) and added some new functionality.

Ever been annoyed by a popup when you’re trying to Receive a Payment and you checked the item in the list on the page? We fixed that behavior.

All of these improvements should help you save time in QuickBooks Online. Please keep the feedback coming.

Intuit PaymentNetwork

Let your customers pay online via Intuit PaymentNetwork. When you email your customer an invoice, you can include an option that lets them pay with a transfer from their bank to yours via Intuit PaymentNetwork. It’s fast, easy, and free for your customers! It costs only $0.50 per transaction for you. Sign up, get approved and start sending invoices to your customers. We just finished a beta of QBO with Intuit PaymentNetwork. Here’s a sample of what we heard from folks trying it out in beta:

I run a small housecleaning company and have been looking for a reasonably priced debit/credit processing option. Many companies want to charge transaction fees and a percent of your total. I love this option. A $0.50 transaction fee is very reasonable, and makes it so that I can offer the option to all my customers.

I love the way the payments automatically match up with the invoices. This saves a lot of time!

To Get Started go to Company > Preferences > Accept Online Payments

Changes to Invoice List

Now you can filter all your overdue invoices, and in one click, email all of them at once to remind customers to pay you.
Customers > Invoice > Invoice List

Changes to Receive Payment

Instead of first entering an amount on the Receive Payment page and then selecting open invoices, you can now check open invoices first and the Amount field will automatically total itself.
Customers > Receive Payment

New Navigation Portlet for the homepage (Click Map)

For those folks who were familiar with our old homepage and missed the visual diagram of money in / money out, we have now added a similar feature on our new homepage. You won’t see this by default, so in order to add it to your homepage look at the image below. Note that this is for the new homepage (look at the bottom section of this blog post) which you should be switching to now. Click Add Content to Page on the top right and add the Click Map portlet. See this portlet in the video at the bottom of this post.

Continuous Improvement

In this release we have also done quite a few under the cover improvements that you may or may not notice. We have improved (remember that this is a relative term and depends upon other factors not QBO related) performance of certain pages, like our homepage, compared to our prior releases. We have also removed a few more window based pop-ups from QBO. If you encounter any issues with their functionality, report them on our forums. And of course certain bugs like the one on Pay One Vendor screen under FF4 got fixed.

Possible changes in the near future that may effect you

In order to cleanup some stagnant code base that we are no longer actively working on, the plan is to remove the old homepage in the near future. If you are already on the new homepage (the one with drag-able portlets / sections, like in the click-map image above) then this change does not effect you.

For those still on the old homepage (<– click to see what old homepage looked like), please consider switching to the new homepage (<– click to see what new homepage looks like) soon and / or provide feedback via the yellow feedback widget or post on the forums. To switch to the new homepage if you were on the old one, you will see a “new homepage” link on the top right under the blue header right next to the customize button.

NOTE: While switching to the new homepage, you may get switched to the new menus too that are horizontal and no shortcuts tab. If you wish to switch back to the old menu style, then just click the “switch to old menus” link thats next to the menus, right after the last menu tab. The new homepage can co-exist with the old menus as the two are separate.

Likewise for the old reconcile page, that will be gone too in the near future. If you haven’t tried the new reconcile, please do so and provide feedback for improvement before the old one is removed.

We are also planning on dropping official support for Internet Explorer 7 and Firefox 3.x in the near future, as now there are newer and better alternatives to these browsers. Customers using these browsers are encouraged to upgrade to Google Chrome or Firefox 4 or Internet Explorer 8 or 9. You will get an in-product warning about the same after logging in.

For those on the Mac, upgrading to Firefox 4, make sure to check this page out - https://qboe.custhelp.com/app/answers/detail/a_id/3057 which talks about PDF printing.

Other threads about PDF related issues, since they seem to come up often when people upgrade their Adobe versions.

The first change is me, Norm Happ, QuickBooks Online Director of Sales & Services. I took on the role of QuickBooks Online Sales & Services/Support in October after 3.5 years in other sales & support leadership roles within Intuit’s Small Business Division. This is an exciting role for me, as QuickBooks Online is an incredibly vibrant area of growth within Intuit and we are playing an unique role in helping Small Business’ around the world save time and money. Having been a two-time entrepreneur, I know the role a great financial management solution can play in the success of a company. Since taking on this role, I’ve been spending time trying to gain a deep understanding of the ways we currently support our customers. We want to deliver the most effective solutions for customers as quickly as possible… so you can get back to work!

What did I find out?

In talking to customers, support agents, and analyzing our results; my team came to the realization that we have an expansive list of support tools for customers, many with varying levels of success. Just to give you a bit of background, one of the key ways we measure success in support is through our “resolution rate”. This rate is defined by the question…were we able to solve your issue the first time and how long did it take you/us to reach resolution? This resolution rate is important to us because we know time spent troubleshooting how to use the product takes you away from running your business. In reviewing the performance of our tools by the above measure, and in the spirit of keeping things simple; we determined the following methods as the two most effective ways to provide you support:

In-product self-help– if we can get the help to you where and when you need it, the solution is ideal.

Our second best solution is having a phone contact with our support agents. They are trained in diagnosing customer issues and over 75% of the time, they solve the issue during the first customer contact.

What does this mean for you?

We decided to put our investments into these two capabilities and build upon their proven success rates. Our initial investment includes:

Adding Saturday support hours (9AM – 3PM Pacific Standard Time)

Providing the most used “how-to” articles within the product exactly where you may need them

Because we chose to invest in these higher performing tools, we determined that we should shut down other tools that were underperforming. Our online support case submission tool (eCase) is one of these tools. Customers and agents told us that the tool, although good in concept, created a lot of back-and-forth in trying to clarify the specifics of the problem. The same issues were being solved 30% faster through a quick phone conversation with one of our support agents. We provide QuickBooks Online customers with free phone support because we want to ensure you’re successful using the product, love working with Intuit, could not imagine going back to the prior way you managed your business, and will be a customer for life.

We will be testing other support methods over the next few months to see if we can do an even better job of supporting you. I hope you see the benefits of these changes and we can help you get back to running your business quickly. I encourage your comments or to email me directly with your feedback.

Cheers,

_________________

Over the next week (starting Friday March 18th) we are rolling out a few new features as well as some UI updates. Here is what you can expect from our upcoming release:

Homepage modules are now movable by default

Previously one had to press the Customize button before being able to move around a homepage module. You no longer need to do this and the modules can be moved around whenever you feel like moving them. Just grab and drag the module header with your mouse to move the module around. The Customize button also has been renamed to Add Content to Page, and as the name suggests press this if you want to add new modules. Below is an image of what the header looks like and what the buttons do.

Footer removal, where did the feedback link go?

You will notice that we have removed the site footer from all the pages except the home page. This is to give the user more screen real estate for data relevant to their business. With the footer gone, you should see a little more vertical space on pages like Reconcile, Registers etc which are confined to the browser view port. However you may wonder how to give in-product feedback since the feedback link used to be in the footer (we actually removed the link with our last release). The new location for the feedback link will be as shown below, in the menu navigation bar on the right. For the time being you will see the yellow feedback widget as below, till we come up with a fresh new look and design for it.

Few UI tweaks to increase page contrast

Many people have pointed out to us that pages seem too white. So we are introducing some color tweaks to our pages to help reduce the whiteness and improve contrast while at the same time not introducing too many different colors. See the screenshot below (click the image to maximize) for details. Most pages will still look consistent. The highlights of the color changes include adding a light grey background for forms and changing table headers to dark blue or darker grey.

Invoice List & Printing Packing Slips

If you didn’t notice in the above image, we added a new button on top of the invoice page for an Invoice List. Below is a screenshot of that page. On this page you can select and print multiple invoices. You can also print packing slips by clicking the packing slip option in the Print drop down.

Control after how long you want to be logged out due to inactivity & a new UI when you timeout

Many have in the past mentioned that our 1 hr inactivity timeout is too less. So now we are giving you an option to extend this time after which you will be automatically logged out due to inactivity. By default it is still set to 1 hr, however now you can choose between 2 or 3 hrs. To change this setting, via the menu go to Company > Preferences > Company sub section > Log out after inactivity. Choose your desired time and click save at the bottom of the page. Below is a screenshot of this setting. We have also added a new UI for the inactivity timeout / re-login. Once you timeout, you will be presented with a new mini-login screen. Enter your user name or password to get back and continue where you left off. Clicking cancel will take you back to our main login page. With this new UI we eliminate 2 more window based popups in QuickBooks Online.

Intuit App Center

QuickBooks Online has started to integrate with 3rd party apps. You now can see a new menu on the top right corner of any page linking to the Intuit App Center. This new menu will also show any apps you have signed up for and are integrated with QuickBooks Online. Save time and boost productivity with apps like Bill.com, AuditMyBooks and Expensify. You sign in with a single ID and can easily switch between apps via the App Center. The app center menu is shown in the image below and is accessible via the Intuit logo on the top right corner of any page.

Connect to PayPal via Online Banking

Note: Unfortunately we are tracking some issues with PayPal, will keep you folks posted.

You can now connect your QuickBooks Online company with your PayPal account. To set it up just go to the Online Banking option under the Banking menu and click Set Up Connections.

QuickBooks Online Access via SMS (currently in a limited beta)

Note: Not everyone will have access to this right away.

Some users will notice a small beta notification on the footer of the homepage. This is for the new SMS mobile access. Click the notification to launch the setup which looks like the screenshot below. Once activated, use the commands listed to get information from your books. This is a fresh new feature and is still in beta so if you have feedback about it or encounter any issues let us know. Over time you may see more features added to it.

New supported browsers added

We have removed the warning pages from both Firefox 4 (windows and mac) and Internet Explorer 9 (windows only). QuickBooks Online should be mostly usable on them. Due to the nature of browsers and how new these are, there still can be potential issues. Make sure you upgrade to the final release versions if you are running beta versions of them.

We are at the moment tracking a few plugin related issues for PDF viewing. These are not QuickBooks Online specific issues but 3rd party browser issues. So, while using IE9 if you will notice your PDFs downloading as opposed to opening in the browser window, update your Adobe PDF Reader. Likewise an update is needed for the PDF plugin for Firefox 4 on the Mac (Windows users should be fine). Keep an eye out on Mozilla’s plugin website for an update to it. Also keep an eye on this blog, I will post updates when needed.

If you encounter more issues with these new browsers report them here or on the community forums or via in-product feedback and optionally give a screenshot of the issue.

Internet Explorer 7 users: As before we highly recommend that IE7 users upgrade to a modern browser. You will see a warning in product about the same. You can ignore it, but please upgrade soon.

Internet Explorer Compatibility View: Some users running IE8 or IE9 might get a warning suggesting to get out of compatibility view mode. To do so, see the image below

We understand running your business is tough. “What bills are coming due?” “Who owes me money?” “Do I have enough money to pay my employees?”

When you are just getting started with QuickBooks Online, it’s sometimes difficult to immediately see exactly what it can do for you. QuickBooks Online can help you answer all of these questions (and a lot more by the way), but for many customers it was a single “ah-ha” moment within the product that made them realize just how it can make running their business simpler.

Could it have been something as simple as being able to professionally invoice your customers? Maybe it was that moment you finally figured out just what an income account really is and how to use them within QuickBooks Online?

No matter what it was, we’d love to hear about at what point in your journey with QuickBooks Online (and your business) it was that you had that “ah-ha” moment …where you experienced some value to you or your business from using QuickBooks Online?

Tell everyone about it in the comments section.

The team here will look at these comments to better understand what we can do to help other users (just like yourself) in-product, AND you’ll be helping guide other small businesses to be more successful with QuickBooks Online.

As you probably noticed, we recently gave QuickBooks Online a little makeover. We have received lots of passionate feedback since then. Many of you were surprised by the change.

Believe it or not, QuickBooks Online is a 10-year old product. We’ve gotten a lot of feedback in the past that it looked very outdated. We believed that it was time to freshen it up and move QuickBooks Online to web 2.0 (and beyond).

Imagine QuickBooks Online as a person from the 70’s, wearing the fashion that was popular then. Probably not a very trendy image now. This is how fast the web world moves – 10 years can be easily 40 years in another trend or industry. Think about the other websites you use today. How do they look as compared to QuickBooks Online before and after? The makeover is a start for us to give you a more consistent experience on the web.

Many of you commented that the pages look washed out and do not have enough contrast. To address these issues, we’ve:

darkened the text and lines in the product for better readability

adjusted the line color around data fields to increase scan-ability

slightly darkened the “check” in the Write Check screen to create better contrast

We hope you will find these changes an improvement. Please let us know what you think.

We will continue to improve our process and pay close attention to your feedback as we make QuickBooks Online a better product. We have gotten your other requests as well and know that there are many features and improvements you desire to see in the product. Your feedback is invaluable and will help shape the future of QuickBooks Online. We greatly appreciate you telling us what’s good and what’s not so good. Please keep it coming.

Thank you for your continuing support!

– The QuickBooks Online Team

At Intuit, we always admire our customers who have pursued the path of starting their own business; in many cases, it is quite a big risk.

But, what led you to start your own business?

Were you looking to financial independence

The promise of being your own boss?

The dream of making a difference?

…. or something entirely different?

And, why did you choose the profession you practice?

Did you learn a trade at a large corporation and translate it to your own business

Or did you turn your hobby into a career, or simply pursue something new?

We think entrepreneurs are their own breed and love hearing their great stories.

Tell us two sentences of why you are the way you are and include a link to your website (Free PR!)

Looking forward to hearing from you!

It’s that time of year. It comes around just after you’ve eaten all the holiday food and spent some serious holiday dough. It’s the universal time to make resolutions about the upcoming year.

We started asking around the office and found out that the QuickBooks Online team is pretty good at making resolutions. We’re excited to share our personal ones with you…and encourage you to share yours.

Intuit’s also put together ten tips for small businesses for the new year. Read them here.

A peak into the lives of your QuickBooks Online team:

Lance, Product Manager: This year I will expand my mastery of the Thai language beyond simply knowing what to order at a restaurant.

Emily, User Researcher: To save more money and to keep swimming 3 times a week.

Judd, Product Manager: I actually think New Year’s resolutions are funny…if I want to make a change, I don’t feel a need to wait until a certain date to make it happen. That said, I have successfully avoided becoming a FaceBook user and hope I can stay untainted in 2010.

Marc, Senior Software Engineer: Eat healthier and exercise more!

John, Quality Leader: To produce, direct, and film a documentary film about how we create high quality software at Intuit.

Shareen, Marketing Manager: My New Year’s resolutions tend to stay consistent year after year. . .lose weight, exercise more, and keep on practicing positivity!

Please share yours!
